This meeting will be held in hybrid format: on-site in Kobe and online.
How to chair sessions or deliver presentations are different from usual meetings.
Please be sure to read through this page.

 

For Symposium Speakers

Domestic participants are to participate on-site in Kobe in accordance with our policy, however, online participation is acceptable on your own discretion.

 

1. Presenting on-site in Kobe (participants living in Japan)

How to present
Deliver your presentation as is conventionally done. For preparation, please read this.
Presentation slides displayed on the screen and video footage of your presentation are distributed to online participants through Zoom.

Q&A Session
Chairs lead Q&A sessions as usual. Please follow your chair’s instruction and answer questions from on-site participants. Please answer questions from online participants which your chair chooses and reads out.

 

2. Online participants delivering a live presentation

You can deliver a live presentation through Zoom, if you are living outside of Japan or you are not able to participate on-site in Kobe.

Preparation
Please submit your presentation data as a backup in advance to prepare for problems such as internet connection or zoom connection problems. The presentation data you submit will be stored safe until the meeting and meeting staff will operate your slides in case problems occur and you are not able to do that.

*Be sure to set your file name correctly. Your file may be mixed up with other’s if its name is not correct.

[IMPORTANT]
To operate your presentation slides smoothly during your presentation, please set a video to be played automatically and use minimum animation in your slides.

Zoom Connecting Test
Please join the Zoom connecting test, which is scheduled immediately before your session. The meeting secretariat will contact you for time and the URL for the connecting test in late July.
You will get briefed on how to deliver an online presentation or answer questions from audience from operating staff.
More information regarding the connecting test will be informed by the meeting secretariat in late July.

Delivering presentation
Please access to the Zoom meeting 5 minutes prior to your presentation. The meeting URL will be notified by the meeting secretariat in late July.
Start your presentation when your chair asks you to do that.

Q&A Session
The session chair will lead Q&A session, which responds questions from both on-site and online participants. Please answer the question if your chair asks you to do that. In case you have problem listening to questions from on-site participants, your chair will assist you to answer those.
For more information, please refer to “Manual for Presenters”, which will be available in mid-July.

In case of troubles
In case of troubles such as internet or Zoom connecting problems or computer problems, chairs and operating staff are trying their best to assist your presentation.

<Operating presentation slides>
Your chair or operating staff will operate your presentation slide or share screen on behalf of you.
If you’re still able to see the Zoom meeting window, end share screen and continue your presentation with audio only.

<Unable to connect Zoom>
The meeting staff will call you and give you instructions depending on situation. Please keep your phone nearby during presentation.

 

3.Pre-recording your presentation for a live streaming

If it is difficult for you to deliver a live presentation because of the time difference or unreliable internet environment, you can pre-record your presentation and send the video to the meeting secretariat in advance. Your presentation video will be live streamed during the session.
You can select your preference on how to answer questions from audience as below:

Submitting your presentation video and its deadline
Please send your video file to the designated Dropbox. The meeting staff will store your file carefully and play your video on the screen in the session room and the Zoom meeting when your presentation time starts.

Q&A① Answer in real-time through Zoom
Enter the meeting room as a panelist and answer your questions in real-time.
Please refer to “How to answer questions online” for detailed information.

Q&A② Answer questions posted with “Comment” function
Your abstract page in the abstract searching / browsing system “JNS Meeting Planner2021 has the comment function. Please answer questions posted on your page after your presentation. JNS Meeting Planner2021 is kept open after the meeting concludes, questions may be posted on your page after the meeting.

 

For Oral Presenters

Presentation slides displayed on the screen and video footage of your presentation are distributed to online participants through Zoom.

Chairs lead Q&A sessions as usual. Please follow your chair’s instruction and answer questions from on-site participants. Please answer questions from online participants which your chair chooses and reads out.

 

For Poster Presenters

We adopt “e-porster” in addition to presentations and discussions in real-time.
“e-poster” is a digital version of poster which is same as a poster put up in the poster panel in the venue. It is uploaded on the abstract searching / browsing system “JNS Meeting Planner2021” and available for all participants.
Both on-site and online participants can view e-posters anytime and that is expected to bring more discussions.
Rest assured that submitted e-posters are secured and protected from downloading, printing, and copying.

Presentation format
Poster presenters are to deliver presentations in either one of following formats. All presenters have already been informed of their presentation format.

  1. On-site presentation, discussion and e-poster: Those who are living in Japan and chose this format.
  2. Online presentation, discussion and e-poster: Those who are living outside of Japan, chose this format, or submitted Late-Breaking Abstracts.

Preparation

  1. Create an e-poster for uploading on JNS Meeting Planner2021. You can divert your poster data of poster for panel to e-poster. Please read “Manual for Poster Presenters” for more details regarding how to create an e-poster and upload on JNS Meeting Planner2021. The manual will be available in mid-July.
  2. [On-site presenters only] Set up the Zoom meeting room for your own. On-site presenters are required to bring your own computer and start the Zoom then start your poster presentation. Answer questions from both on-site and online audience. If you don’t have a Zoom account, create your Zoom account to set up your Zoom meeting room.
  3. Upload 1(e-poster) and 2(Zoom meeting room) on JNS Meeting Planner2021. Uploading is available from Thursday, July 15. You can upload them by accessing the URL which will be notified by the meeting secretariat. Also, you can change uploaded e-poster or the meeting room information whenever you need as long as JNS Meeting Planner2021 is open. Please refer to “Manual for Poster Presenters”.

 

Real-time Presentation

1. On-site presentations (July 28-30)
Deliver your presentation as is conventionally done by standing in front of your poster panel.
Connect to the Zoom meeting room you set and start your presentation. Answer questions from both on-site and online audience.
Poster presenters can borrow Wi-Fi device (mobile router) for free on the meeting site.
Please read “Manual for Poster Presenters” for more information. *The manual will be available in mid-July.

2. Online presentations (July 31)
Online poster presentations are delivered on VirBELA: the virtual world platform.
